Every once in a while, there's a product release that feels like a real step-change—not just a list of new features, but a leap forward in how we support our customers. Version 9 is exactly that.

We've spent the last year heads down, working closely with many of you, looking at where the industry's headed, and asking ourselves how we can keep helping you grow—even as things get harder out there. Version 9 is packed with updates that do just that.

We'll be rolling this out over the coming quarters, but here's a preview of what's coming:

Revenue cycle that can scale

Across healthcare, initial claim denial rates climbed to 11.8% in 2024, up from 10.2% just a few years earlier, according to OS Healthcare's analysis of industry denial trends. For rehab practices processing thousands of claims monthly, that increase translates directly into lost revenue and added rework hours for billing teams. The data confirms what most practice owners already feel: manual denial management is no longer sustainable at scale.

We're adding more automation, better denial and appeal tools, and tighter control of workflows—all to help you scale without ballooning your back office. Version 9 introduces:

  • Appeals and denial automations that reduce manual follow-up on rejected claims
  • More granular workflows giving billing teams precise control over each step of the revenue cycle
  • Dramatically improved automation allowing your RCM operation to service more claims per person with better underlying RCM metrics

The result: improved overall outcomes for the business without adding headcount. This systematic approach to denial management is designed to establish a more reliable, repeatable revenue cycle framework for growing practices.

Faster, cleaner financial reporting

Better A/R workflows, true period close, and a ton of under-the-hood upgrades that give your finance team more confidence and control. With CMS finalizing the Medicare physician fee schedule conversion factor at $32.35 for 2025—a 2.83% decrease from 2024's $33.29, according to the National Association of Rehabilitation Agencies (NARA). Tighter financial visibility is not a nice-to-have. It's essential for protecting already-thin margins.

In practice, many rehab organizations still rely on spreadsheets and manual reconciliation to close their books each month. Version 9's true period close and enhanced A/R workflows are built to replace that with a proven, repeatable process.

Smarter lead management

Research published in the Journal of Orthopaedic & Sports Physical Therapy (JOSPT) found that 55% of patients with chronic pain self-discharged before completing their plan of care. Separately, only 35% of physical therapy patients complete the full care plan authorized by their insurer, according to Cross River Therapy. In practical terms, that means most of the patients who walk through your door never finish treatment, which makes capturing and converting new leads critical for sustained growth.

We're layering in new automation to help your front desk capture and convert more leads—while building on top of our existing patient engagement platform. Key improvements include:

  • Automated lead capture from incoming inquiries and referrals
  • Smoother handoffs between marketing, front desk, and clinical teams
  • Better conversion tracking so you can benchmark performance over time

These lead management tools follow an established methodology: capture, nurture, convert, and measure.

A better way to manage teams

Fully integrated Company Chat, Patient Chat, Employee Announcements, and deeper integration with Prompt Compensation (formerly OnusOne), all designed to help you manage your team without the chaos.

Unified communication tools are particularly valuable in multi-site rehab organizations. The APTA's 2024 Benchmark Report found that maintaining an adequate workforce remains a persistent challenge for outpatient practices, which means reducing coordination overhead is essential for retaining the staff you already have.

AI where it actually helps

Building off of our initial set of AI features, Prompt will be adding many additional AI capabilities throughout the platform. We're layering in AI across the platform—think automated Discharge Summaries, No-Show Prediction, and tools to flag patients at risk of dropping off.

Research from Northwell Health, demonstrated that clinicians using AI-powered documentation tools saved up to three hours daily without sacrificing note quality. This isn't just shiny tech: It's real automation that saves your team time and boosts results.

Additionally, physical therapy no-show rates range from 15% to 31% across clinics, according to a study published in PLOS ONE. Prompt's new No-Show Prediction tools are designed to help your team intervene early, so you're not losing revenue to empty appointment slots.

Tools to fight margin pressure

We're rolling out new features to help you capture every dollar:

  • Intelligent credit card surcharging to patients
  • Enhancements to the Kiosk for faster check-in and payment collection
  • Front-desk workflow tools including authorization management
  • Ongoing friction reduction to decrease the cost of providing care

Patient attrition in outpatient physical therapy can account for revenue losses of up to 50.6%, according to research published in ScienceDirect. Which means that for a practice generating $1 million in annual revenue, more than $500,000 could be at risk from patients dropping off before completing their care.

Every tool that reduces friction at the front desk and keeps patients engaged helps protect the revenue you've already earned. Best practice in rehab finance is to address leakage at every touchpoint, from check-in to final payment.

Clinical workflows that just work

New embedded evaluation templates, better RTM, dynamic text macros, deeper Prompt Engage (formerly PT Wired) integration, and streamlined compliance tools—all built to support your clinical team, not slow them down.

With 62% of PT practices already using automated appointment reminders and seeing a 27% reduction in no-shows as a result, according to Beaming Health, the evidence shows that clinics layering in deeper workflow automation are well-positioned to see compounding efficiency gains.

Version 9's clinical workflow updates include:

  • Embedded evaluation templates for faster, standardized documentation
  • Dynamic text macros that adapt to each patient encounter
  • Streamlined compliance tools built into the clinical workflow rather than bolted on afterward

Better reporting & executive insights

We're upgrading our reporting and BI tools, including an AI-powered assistant that helps surface the insights that matter—no need to be a data nerd.

Practice owners and clinical directors need real-time visibility into key performance indicators. According to the U.S. Bureau of Labor Statistics, physical therapist employment is projected to grow 11% from 2024 to 2034, well above average, which means more competition for patients and greater pressure to run an efficient operation.

Version 9's upgraded reporting is built to deliver benchmark data across metrics like:

  • Visits per authorization
  • Cancellation and no-show rates
  • Payer mix and reimbursement trends
  • Revenue per visit

And one more big thing: Interoperability

We've partnered with Kno2 to bring real, two-way clinical communication into Prompt—so you can connect with referring providers, hospitals, and more, without jumping through hoops. On top of that, we're now offering automated BI data extracts, which means you can access and use your data when and how you want—without waiting on support or dealing with manual exports. This is an industry standard capability that has been lacking in the rehab therapy space, and we're proud to bring it to Prompt customers.

We're really proud of what's coming in Version 9. Not just because it's packed with features, but because it reflects what so many of you have asked for. You're building the future of rehab, and our job is to give you the tools to do it faster, smarter, and more efficiently.

Thanks, as always, for being on this ride with us. We're just getting started.
