Boston Health and Wellness Physical Therapy grew visits 55% after unifying its systems on Prompt

"We now feel like a well-oiled machine." That's how Dr. Stefanie DePaul, PT and owner at Boston Health and Wellness, describes her practice today. The 2-location practice in Massachusetts has seen what Stefanie calls "significant" growth after bringing all their previously disconnected workflows into one system with Prompt.

Before switching to Prompt, Stefanie’s practice ran on an outdated platform that didn't connect any of its technology. 

"We were using an outdated platform. It really didn't connect any of our technologies. None of our systems were integrated," Stefanie said. "It just really wasn't efficient and it was wasting hours of my front desk’s time."

Growing to a 2nd location, with the systems to support it

In less than a year on Prompt, Boston Health and Wellness went from 1 location to 2, triple its clinician team size, and grew visit volume by more than half.

"We switched a little less than a year ago. We went from 1 location, about 5 to 6 FTE, and we were doing about 900 visits per month prior to switching," Stefanie said. "Once we made the change, we have now grown to 2 locations. We have about 9 full-time equivalents for providers at this point, and we're seeing over 1,400 visits per month now."

AI documentation clinicians actually want, and a hiring advantage

Boston Health and Wellness uses Sidekick, Prompt's AI documentation tool, to let clinicians stay present with patients instead of typing through the visit.

"You click the button, you have a conversation with your patient. You actually can look at them in the eye and talk to them. You’re not typing on your computer, and I just feel more connected with my patients."

Stefanie now also lists Sidekick as a job benefit when hiring, and says it's a reason candidates take the job.

She says that one of the reasons she's hiring so quickly is because of the perk of having the AI note-taking.

New revenue and more patient engagement with Prompt Engage

Boston Health and Wellness uses Prompt Engage to give patients home exercise programs and track completion between visits, and bills 2 Remote Therapeutic Monitoring (RTM) codes on top of it.

"We were looking for a way for our patients to be more accountable and to track if they're actually doing their home exercise programs daily. We love Prompt Engage for that reason because we can also bill RTM codes as well," Stefanie said. "We just use the eval code, and if they do their exercises, you can bill a second code every 30 days. Just those 2 codes alone, we make about $3,000 extra per month in revenue that's coming in."

Stefanie says that previously the practice had little contact with patients outside of visits. That's changed, and so has their average length of stay.

"Before Engage, we literally only saw them during their actual PT treatment sessions, their evaluations, and their follow-up treatments. There wasn't much engagement, if you will, in between,” she said. 

Now, Boston Health & Wellness is able to see how active their patients are and if they’re doing their prescribed exercises every day. They’re also able to chat with their patients in the app, and Stefanie says not only do their patients think the app is fun, but they’re also seeing their length of stay increasing. 

“Our plan of care and our length of stay has increased. It used to be about 8 visits, and now we've increased between 12 and 15 visits on average, which is an ideal length of stay,” she said. 

Patients have responded to the format itself, not just the accountability.

"Patients are finding it really fun. They like that they get points and rewards, and they’re like ‘Oh, it’s a game!’ We’re just really enjoying how much engagement there is with our patients,” Stefanie said. 

Stefanie says: Run, don't walk

For a growing practice, disconnected systems and manual re-entry can quietly eat up hours every day, and leave room for human error. Stefanie’s team closed that gap with Prompt, and used the time back to open a second location and build new revenue.

"If you are considering switching to Prompt, I would 100% do it,” Stefanie said. “Run, don't walk, because it was the best thing we've ever done for our office."
